Booking My Event

Please contact us at the bottom of our home page by submitting your name, email, subject and message.  For questions, to check availability or schedule a tour or event please contact us by email awatsonleonelli@gmail.com. or by phone or text 435-496-0310.  We will be in touch quickly.

Required Non-Refundable Deposit

A non-refundable deposit is required to reserve the date and time for your event.  $500 for all half-day and full day venue rentals.  Making your deposit confirms that you have read and confirmed your acceptance of all policies.  Your deposit will be applied to your overall balance.

Damage Insurance

In the event of damage to the venue and property during your event, The White House Gathering Place asks renters to reserve a maximum amount of $500 to be paid to cover the replacement or repair of any damage incurred.  The renters are responsible to monitor guests and children.  Vendors are required to dis-mantel and remove all items they have provided for your event.   Any damages will be reported to the renter by phone and in form of a billing statement.

Payment

A non-refundable deposit is required to reserve your date and time on The White House Gathering Place event calendar.  This deposit will be applied to your account balance.  The remaining balance will be divided into two payments.  Half of the remaining balance is due 60 days before your scheduled event.  The remaining half is due 30 days before your scheduled event.  Additional payment options are available, rental must be paid in full before your scheduled event.  Invoices will be sent to your email and will be available to pay online or through VENMO: @shanz-leonelli.

Cancellation Policy & Refunds

You may cancel your event for a refund of the amount paid by providing The White House Gathering Place confirmed written notice within 72 hours of your first booking.  Cancellations made after 72 hours will be refunded minus the $500 non-refundable deposit.  Cancellation requests made 60 days before your scheduled event will be refunded half of the amount paid not including the $500 non-refundable deposit.  Cancellation requests made 30 days before your scheduled event will not be refundable.  There are no refunds of any type within 30 days of your scheduled event or following your event.

Changes

Changes to full day or half day rentals will be accommodated 60 days in advance.  Changes to event additions or spaces need to be made at least 14 days prior to your event.

Ceremonies

We love hosting ceremonies and The White House Gathering Place has unique features to make your ceremony memorable.  Our Gathering Room can accommodate 50 guests comfortably.  Our Gathering Grounds feature 10 ceremony spaces, each unique in its own style which can accommodate 120 seated guests.  Ceremony spaces include: The European Wishing Fountain, The Rose Garden Gazebo, The Old English Garden Gazebo, The Weeping Willow, The White House Staircase, Watson Field, The White House Waterfall, The Bistro and The Bistro Gazebo.  We have several structures available for use.  It is our pleasure to set the design of your ceremony space.

Parking

112 parking spaces including ADA, are located off of West Street on The Great Lawn at The White House Gathering Place entrance.

Bridal and Groomsmen Rooms

We provide luxurious changing rooms for both our bridal parties and groomsmen.  Each features a dedicated space for seating of 12, changing areas, closets, full length mirrors, vanities, tv (in Groomsmen Gathering Room)  and access to a bathroom.

Sound System & Music

Music may be played at 60 decibels from 10am to 10pm.  Access to our BOSE Sound System is complimentary when requested.  Our sound system offers a microphone, auxiliary chord and blue tooth set up.

Other Bookings the Day of My Event

The White House Gathering Place is dedicated to making your event memorable and stress-free.  For this reason we do not book multiple events on the same day.

Prep Kitchen

A Prep Kitchen is available upon request at least 30 days prior to your scheduled event.  No cooking is allowed.  Amenities include refrigerator, two ovens for warming and large counters for plating.

Arrival Time

Arrival time begins at the time of your scheduled event.  The White House Gathering Place opens at 10am to scheduled events and closes at 10pm.    Please work with vendors for your event and agree upon an arrival time for all vendors within the same hour.

Extended Time

Extended time for events is not offered.  

Half-Day rentals have a complimentary one hour time span for clean-up at the conclusion of their event.   Full-Day Rentals have a complimentary one hour clean up from 10-11pm.The White House Gathering Place closes to all invited guests of the host at 10pm.

Set-Up

Set-up of Gathering Room tables, chairs and ceremony and reception space as well as Gathering Grounds tables, chairs and ceremony and reception spaces are complimentary services when you celebrate with The White House Gathering Place.

Vendors

The White House Gathering Place loves working with vendors.  Please refer to our preferred vendor list for all your event needs.  If your vendor is not on our list please arrange a meeting for your vendor to review our venue policies.

Service Options

Set-up and clean-up of tables, chairs and ceremony or reception structures as well as garbage removal during your event are complimentary services when you celebrate with The White House Gathering Place.

Tips

Tips are not required but if you feel as though one of our staff have been of great service above and beyond what is expected, tips are a wonderful way to show your appreciation.

Open Flame Candles

Open flames are not permitted inside The White House Gathering Room or on the Gathering Grounds.  Please use battery operated candles for your event.

Sparklers

Sparklers may be used in certain areas if previously discussed during your event planning consultation.  Please have a bucket of water ready to collect all used sparklers.

Rice, Confetti & Faux Rose Petals

Rice, Confetti, and Silly String are not allowed in The White House Gathering Room or on the Gathering Grounds.  If Faux Rose Petals are being used outside, all petals need to be collected at the end of your event.

Damages & Injuries

If damages occur during your event, they will be assessed during the post event walk-through.  Costs to repair or replace damaged items or the venue rooms or grounds will be billed to the renter.   If there are no damages, the cost will not be assessed. 
The White House Gathering Place is not responsible for injuries during your scheduled event.  As the host of your event, the renter is responsible for all injury and damage during their scheduled event.

Alcohol

The White House Gathering Place does not serve alcohol.  If you would like alcohol served at your event a $400 alcohol fee is required 30 days prior to your scheduled event or can be combined into your payment plan.  As the Renter, you must employ a certified bar tender and supply all alcoholic beverages for your event.  A copy of the bar tender's license must be submitted and verified along with the alcohol fee.  Alcohol service is required to end one hour before the end of your scheduled event.

Scheduled Tours, Design Meetings & Additional Planning Meetings

Call, text or email to schedule a consultation and tour of The White House Gathering Place.  Additional walk-throughs for planning and vendors may be scheduled with the event manager.   Please be versatile in your scheduling needs out of consideration for other scheduled events.

Event Rehearsal

A complimentary event rehearsal may be scheduled the day before your scheduled event after 5pm.  At this time you may bring any decorations or personal items you would like to have ready for your event.

Smoking & Vaping

In general smoking and vaping is prohibited in all indoor places of public access and outside are not allowed within 25 feet of buildings and structures.  If required please ask about our designated smoking or vaping areas.

Linens

The use of linens require an additional fee of $10 per table for launder and press services.  Each round table linen set includes one floor length white table linen.  Buffet table set includes one floor length black buffet table linen.

Photography Pass

Photographers who would like to use The White House Gathering Place for photography sessions are required to pay a $25 photography pass fee which grants access to gathering grounds for one hour.  Photographers are required to read and acknowledge all policies, understanding that they become the renter and assume liability and are responsible for all clients they bring to the venue.  Photographers are expected to call or text for availability 24 hours in advance.  Photography sessions that require more than one hour will be required to pay an additional fee, $25 for every additional hour.  If a photographer has been hired for your event only during your scheduled event time, a photography pass does not need to be purchased.  Photography sessions are not available during scheduled events.

Acknowledgement of Policies

When booking your event with The White House Gathering Place, an email of policies will be sent to the renter.  By confirming that you have read and will comply with all policies and paying your non-refundable deposit you acknowledge all requirements and policies of The White House Gathering Place and agree to uphold and abide by those requirements as the Renter and host of your invited guests.
